What a submittal review stamp should include

A review stamp records who reviewed a submittal, what action they took and when. Contract administration guidance published by EJCDC recommends that a design professional's stamp carry the action taken, a short disclaimer, the firm name, the reviewer's name and the review date. A contractor's stamp should identify the submittal and certify that the contractor reviewed and coordinated it before sending it on.

What each action means, and what to do when a submittal comes back, is explained in our guide to submittal review stamps.

Tips for a professional stamp

  • Use the action terms your contract or office standard uses, and the same terms every time.
  • Keep the disclaimer short and readable; have your company's attorney or insurer approve the final wording.
  • Use one stamp per submittal, placed near the transmittal or cover sheet.
  • A transparent background lets the stamp sit on top of drawings without hiding them.
  • Subcontractors: many specifications require your review before the general contractor's. A certification stamp shows you checked the submittal against the documents.

Pair the stamp with our free cover sheet builder and free submittal log. If you'd rather not prepare submittals yourself, we prepare them for you.

Frequently asked questions

How do I add a custom stamp to Bluebeam Revu?

Download the PDF from this page, then in Revu go to Tools, Stamp, Import Stamp, select the PDF and click Open. The stamp then appears in your Tools, Stamp list.

Can the date and reviewer name fill in automatically?

Yes, inside Bluebeam. Edit the imported stamp, draw a Text Box where you want the date or name, and pick Date or User from the Dynamic list. Revu fills it in each time you place the stamp.

Does it work in Adobe Acrobat?

Yes. In Acrobat, open the Stamp tool, choose Custom Stamps, Create, and browse to the downloaded PDF.

What wording should my stamp use?

Use the terms in your contract or office standard. The presets follow common practice for design professionals, contractors and subcontractors, and every word can be edited. Have your attorney or insurer approve the final disclaimer.

Is my logo uploaded anywhere?

No. The stamp is created in your browser and saved only on this device.

Need the submittals behind the stamp?

We prepare spec-checked submittal packages for every trade, so they come back approved.
