This Privacy Policy describes how SubmittalShop ("SubmittalShop," "we," "our," or "us") collects, uses, discloses, and safeguards information in connection with your use of submittalshop.com (the "Site") and the submittal preparation, shop drawing, transmittal, and related documentation services we provide (collectively, the "Services"). By accessing the Site or engaging our Services, you acknowledge that you have read and understood this Policy. If you do not agree with its terms, please do not use the Site or the Services.

1. Scope of This Policy

This Policy applies to information collected through the Site, our online Transmittal Builder tool, project intake and quote request forms, email, and any other means by which you interact with us in connection with the Services. It does not apply to third-party websites, applications, or services that may be linked from the Site; we encourage you to review the privacy practices of any third party before providing information to them.

2. Information We Collect

We collect the following categories of information:

  • Contact and Account Information. Name, company name, job title, email address, phone number, and mailing address that you provide when requesting a quote, submitting a project, or otherwise contacting us.
  • Project and Submittal Content. Specification sections, architectural and engineering drawings, project manuals, product data, RFIs, transmittals, and any other documents, files, or data you upload, email, or otherwise transmit to us for the purpose of receiving a quote or having submittals, shop drawings, or related deliverables prepared ("Project Content").
  • Communications. Records of correspondence between you and SubmittalShop, including messages sent through our contact forms and any revision requests, approvals, or comments you provide during a project.
  • Technical and Usage Data. Information automatically collected when you use the Site, such as IP address, browser type and version, device identifiers, referring pages, pages visited, and timestamps, typically gathered through server logs and similar technologies.
  • Employment Application Information. If you apply to work with us as an AEC professional, drafter, or contractor, information you submit through our application forms, including your qualifications, software proficiencies, and LinkedIn profile, if provided.

We do not knowingly collect payment card numbers, bank account numbers, or government identification numbers through the Site. Please do not include this type of information in any form submission, upload, or message to us.

3. How We Use Information

We use the information described above for the following purposes:

  • To review project scope, prepare estimates, and respond to quote and service requests.
  • To study, draft, revise, and prepare the submittal packages, shop drawings, transmittals, RFIs, proposals, and other deliverables you have requested.
  • To communicate with you regarding your project, including status updates, clarifying questions, revisions, and approvals.
  • To operate, maintain, secure, and improve the Site and our internal tools and workflows.
  • To evaluate applications from AEC professionals and drafters who wish to work with us.
  • To comply with applicable legal obligations, enforce our agreements, and protect the rights, property, and safety of SubmittalShop, our clients, and other parties.

We do not use your contact information to send unsolicited marketing communications, and we do not sell your personal information to third parties.

4. How We Share Information

We do not sell, rent, or trade your personal information. We may share information in the following limited circumstances:

  • Drafting and Production Personnel. To deliver submittals and shop drawings across the full range of CSI MasterFormat divisions, we may share Project Content with vetted drafting personnel and subcontractors engaged by SubmittalShop. These parties are contractually bound to confidentiality and may use Project Content solely to perform the requested work for your project — never for any other purpose.
  • Service Providers. We may share information with vendors who perform services on our behalf, such as website hosting, form processing, and email delivery, under obligations of confidentiality consistent with this Policy.
  • Legal Compliance and Protection of Rights. We may disclose information if required to do so by law, subpoena, or other legal process, or where we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others, or to investigate fraud or security issues.
  • Business Transfers. If SubmittalShop is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to standard confidentiality protections.

5. Data Retention

We retain Project Content and related communications for as long as reasonably necessary to fulfill the purposes described in this Policy, including to support revisions to a delivered submittal package, to maintain business records, and to comply with legal, accounting, or reporting obligations. When information is no longer needed for these purposes, we take reasonable steps to delete or de-identify it.

6. Data Security

We implement reasonable administrative, technical, and organizational safeguards designed to protect the confidentiality and integrity of personal information and Project Content, including restricting access to authorized personnel and drafting partners on a need-to-know basis. No method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of any credentials associated with tools you use to interact with the Site.

7. Your Rights and Choices

Depending on your location, you may have certain rights regarding your personal information, which may include the right to request access to, correction of, or deletion of your personal information, and the right to object to or restrict certain processing. To exercise any of these rights, please contact us using the information in Section 11. We will respond to verifiable requests in accordance with applicable law. Please note that certain Project Content may need to be retained to fulfill an active or recently completed engagement.

8. Cookies and Similar Technologies

The Site may use cookies, local storage, and similar technologies to support basic functionality, remember preferences, and understand aggregate usage of the Site. Most browsers allow you to control cookies through their settings; disabling cookies may affect certain features of the Site.

9. Children's Privacy

The Site and Services are intended for business use by construction industry professionals and are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so that we can take appropriate action.

10. Liability Disclaimer

As detailed in our Terms of Service, any drawings, plans, or submittals prepared by SubmittalShop or its drafting partners are furnished for the sole purpose of review and approval by the project's Architect of Record or Engineer of Record. SubmittalShop assumes no liability for the structural design, integrity, or field execution of construction based on these documents.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons. The "Effective Date" at the top of this page indicates when this Policy was last revised. Material changes will be posted on this page, and your continued use of the Site or Services after such changes constitutes acceptance of the updated Policy.
